Privacy Policy

Last updated 22 October 2026

The short version
  • We collect the details we need to book and run testing sessions, and the results from those sessions.
  • Players under 18 are booked by a parent or guardian. We never publish a child’s full name, and we never share them with a club, scout or anyone else unless you ask us to or you have opted in.
  • We never sell your data.
  • We keep records for 6–7 years for tax, accounting and legal reasons. You can ask us to delete your data earlier, and we will unless the law means we have to keep some of it.
  • Questions or requests: hello@vltix.com.

1. Who we are

VLTIX LTD (“VLTIX”, “we”, “us”) runs vltix.com, VLTIX testing sessions and the VLTIX player dashboard. We are the “data controller” for the personal information described here, which means we decide how and why it is used.

  • Company: VLTIX LTD, registered in England and Wales, company number 17001845
  • Registered office: 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ
  • ICO registration number: ZC281519
  • Contact: hello@vltix.com

2. What information we collect

  • Bookings and enquiries. A parent or guardian’s name, email address and phone number; the player’s name, date of birth, gender, level of play, club or school; and the session requested. For squad bookings: club name, your role, age groups and squad size.
  • Health and safety notes (optional). If you tell us about an injury, medical condition or allergy, we record it so the session can be run safely. This is health information, which the law protects more strongly, so we only use it with your consent.
  • Test results. Times and scores from sessions (such as sprint, change of direction, braking and reaction), and what we work out from them: age-group rankings, progress over time, and indicators of movement patterns linked to injury risk. These indicators are for information only. They are not medical advice or a diagnosis.
  • Player dashboard. Your account details (such as name, email address and login information) and the results shown there.
  • Photos and video. We only photograph or film a session with the permission of a parent or guardian. This content may be shared across our social media and used in promotional material.
  • Messages. What you send us through the contact form, email or WhatsApp.
  • Marketing choices. Whether you have asked to receive our news and testing dates.
  • Technical data. Your IP address, browser type and the pages you visit, recorded by our web host and security tools.

We collect this from you (the parent, guardian or adult player), from the sessions themselves, and, for squad testing, from the club or school that books us.

3. Children

Most players we test are under 18. A parent or guardian must make the booking, and we collect a child’s information from them. We only collect what we need. We never publish a child’s full name. We never share them with a club, scout or anyone else unless the parent or guardian asks us to, for example by sharing a report link. Comparisons between players use other players’ results without their names.

We do not make automated decisions that have legal or similarly significant effects on you or your child. Scores and rankings are information to help players develop, not a selection decision.

5. Who we share it with

We do not sell your data. We use trusted providers to run VLTIX. They may only use your information to provide their service to us:

  • Hostinger for website hosting and servers.
  • Resend for sending our emails, such as booking confirmations.
  • n8n for the automation that passes form submissions to our email and records.
  • Google for our mailing list and booking records (Google Sheets).
  • Cloudflare for the “Turnstile” check that stops spam on our forms.
  • Dashboard hosted by us, so you can view detailed results and historical data.

We may also share information with: the club or school you booked through (only the results of their own squad); professional advisers such as accountants, insurers and lawyers; and the authorities where the law requires it or where it is needed to protect a child. If you message us on WhatsApp, Meta also handles that conversation under its own privacy policy.

Some of these providers are based outside the UK, for example in the United States. When that happens we make sure the information stays protected, using safeguards such as the UK–US data bridge or the UK addendum to standard contractual clauses.

6. How long we keep it

  • Booking, payment and account records: 6–7 years after our last dealings with you, to meet tax, accounting and legal obligations.
  • Test results and dashboard: while you have an account, and then for up to 6–7 years in line with our records.
  • Marketing: until you unsubscribe.
  • Website server logs and security data: for a limited period.
  • Anonymised benchmarks: these contain no personal information, so we may keep them.

You can ask us to delete your or your child’s information at any time. We will do so unless the law, or a genuine need such as an accounting rule or a legal claim, means we must keep some of it. If that is the case we will tell you. We will retain the testing participants actual results but remove their personal details if requested.

7. Your rights

You (and a parent or guardian, for a child) have the right to:

  • ask for a copy of the information we hold
  • have mistakes corrected
  • ask us to delete information (see section 6)
  • ask us to limit how we use it, or object to it
  • receive the information in a portable format
  • withdraw consent at any time, where we rely on it (this will not affect what we did before)

To use any of these rights, email hello@vltix.com. We aim to reply within one month.

8. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

9. Keeping your information safe

We take sensible technical and organisational steps to protect information, including encrypted (HTTPS) connections, restricted access to children’s data, and bot protection on our forms. No system is completely secure, so please use a strong password for your dashboard and tell us straight away if you think your account has been misused.

10. Cookies and third-party code

We only use cookies that the site needs to work. We do not use advertising or analytics cookies. Our pages load some code from other services (for example, our site styling comes from a content delivery network and our forms use Cloudflare Turnstile). Those services can see your IP address and browser details when a page loads. Links to Instagram, TikTok and WhatsApp take you to those services, which have their own policies.

11. Changes to this policy

If we change this policy we will update the date at the top of this page and, for significant changes, tell you by email.
